This one is worth being exact about, because most of what is sold as an Italy group tour is a scheduled departure. The coach leaves every Monday, the route is the same 10 days it was last week, and the group is whoever booked that date. That is a different product, and it is not what we do.

Organizers ask us three things on the first call: how it works, how many people they need, and what exactly we do. Underneath those sits a second list, and it is the one people rarely say out loud.
We start by asking rather than pitching: what the group wants to see, who has been to Italy before, and how the group is made up. Those answers tell us where the pressure points are, and the plan is built around them from the first draft.
Most organizers arrive braced to do far more than they should have to. Here is how it actually runs.
A group program is quoted as a complete trip. In practice that means flights, ground transportation throughout, the tour escort who travels with the group, accommodations, local guides, entrance tickets, meals, and the experiences arranged around the itinerary to make the places land rather than pass by. Everything included is presented in writing before anyone commits, and so is everything that is not, which leaves no room for surprises once the group is traveling. Personal extras stay personal.
Behind that list sits the part an organizer never sees. An entire department calibrates and prepares every service before the trip starts, day by day and supplier by supplier. Trips 2 Italy personnel on the ground join the group and travel with it, so somebody is physically present to keep the program flowing and to see that everyone is comfortable and enjoying it. Behind them is a team monitoring the group’s movement and supporting our operator on the ground, working the way a theater works behind the stage while the show runs out front.
The hours at leisure are supported too. Our people suggest what to do with the free part of the day rather than leaving a group to work it out on a street corner, and that is very often where the unplanned highlight of the trip comes from.
Every operator, guide, driver and property used to run a group program is vetted first and put through a deep evaluation and testing process before we will put a group in front of it. Three groups we moved recently, and what we did that was not on the invoice.
Milan. The group had a day in the city with the Last Supper on the itinerary. We upgraded them without mentioning it first and took them in privately after hours, with the room to themselves.
The Bernina glacier train. A day excursion on the mountain railway. We put picnic baskets aboard with panini and wine so the group ate as the glaciers went past, then extended the day and added a historic palace and a tasting of the area.
Genoa. A private walking tour for 22 travelers. We added entry to private rooms inside historic palaces that are normally closed to visitors, and a full tasting of the local dishes, as our compliments to the group.
None of that was requested and none of it was charged for. It is the part of the job that only happens when the people planning the trip are Italian and are actually paying attention to the group.
Group travel to Italy changes shape as the party grows. What works for 12 does not work for 50.

Those lead times are the recommendation rather than a rule. In practice, group planning windows run from about 12 months ahead down to as little as 2 months before departure. Peak season months and larger parties need the most notice, because the logistics and the particular services a group requires have to be arranged and secured well in advance, and hotel choices narrow quickly once a party passes 25 people. Groups also travel in the quieter months by choice, which are easier to secure and often suit an older or more flexible group better. If your dates are fixed and closer than this, call anyway. We would rather tell you honestly what is still available than have you find out in March.
A group itinerary usually runs 9 to 11 days. That is not an arbitrary number. Two days of any Italy trip belong to the Atlantic, one going and one coming back, so a program shorter than that spends most of itself getting there. The short group programs we build, of 4 to 5 days, are almost always added to the front or the back of a cruise rather than sold as the trip itself.
The longest we arrange as a single group traveling together is 15 to 18 days, and individual members frequently extend beyond that on their own once the group program ends. There is no ceiling on it. The right length is the one the group can genuinely give, and we would rather tell you that a wish list needs 12 days than compress it into 8 and call that efficient.
How many Italian regions fit inside the trip is the same question asked a different way. We can arrange a group trip in any of the 20 Italian regions, and Italy is a compact enough country that a surprising amount of it is reachable in a short time. The honest limit is the number of days available. Most of the planning work is turning a wish list into a route that honors it without turning the trip into a race between locations.
Inside a single day we aim for a balance. Roughly half the day is guided, with a local Trips 2 Italy guide who knows the place well enough to make it mean something, and the balance is at leisure with the tour director still available to every member of the group. Some days break that pattern because one experience is worth the whole day. What does not break is the cover around it: our people are with the group from the moment it lands at the airport in Italy until it checks in for the flight home.
Here is the part almost nobody plans for. 15 travelers arrive with something like 35 pieces of luggage. Moving those from one hotel to a train station, onto the train, off it and into the next hotel is a real operation, and it repeats every time the group changes base.
Mapping software will tell you the distance and a driving time. It will not tell you about the coffee stop, the traffic, or how long it takes to get a group of 30 on and off a coach. It does not know that most of what is worth seeing needs to be reserved in advance, sometimes to get in at all, always to avoid spending the good part of the morning in a queue.
And a schedule does not get tired. People do. They stop to look at things, they want the coffee, they need the afternoon to slow down. A plan built without that in it looks efficient on paper and falls apart by the third day. We build the day around the people who have to live it.
Groups rarely want the same Italy twice. Some organizers are bringing first time travelers who need Rome, Florence and Venice. Others are bringing a club that has already done all three and wants the Amalfi Coast, the lakes or Sicily instead. These are the regions we build group itineraries around most often, and every one of them can be planned for 9 travelers or 80. They are a starting point rather than a limit, because we plan the whole country and the right answer is often somewhere the group has not thought of. Almost nobody travels to just one of them. A group flying this far expects range, so a trip is normally two or three of these places joined into one itinerary, and the way they are joined matters more than which ones you pick.
Rome and the Amalfi Coast. The pairing we build most often. The city first, then the coast, so the group arrives into the part that needs the most energy and finishes somewhere it can slow down. Works from 9 travelers to 80.
Rome, Florence and Venice. The classic route, and the right one when most of the group has not been to Italy before. Three bases, two train legs, no coach days wasted.
Lake Como and Venice. For a group that wants scenery and a city without a long drive between them. The lakes give a single hotel and days on the water, Venice gives the evening everybody photographs.
Sorrento, Capri and Pompeii. One base and three very different days, which is why it suits an older group or a mixed one. No repeated packing.
Apulia and Matera. The route for a group that has already done the classics. Two neighboring regions that complement each other, still largely undiscovered by American groups, and far easier to secure than the famous names.
Venice rewards a group that is handled well, and handling it well is exactly what we do. Vaporetto transfers, luggage over bridges and restaurants that seat a full group are all solved in advance with private water transport and the right hotel choice. We arrange private after hours access at St Mark’s Basilica, gondola workshops in a working squero, and Murano glass demonstrations with makers rather than showrooms.
The lakes work particularly well for travel clubs and reunions because the group can be based in one hotel for the whole stay and still see something different every day. Private boat charters to Bellagio and Varenna carry a full group without splitting it, villa gardens at Balbianello and Carlotta open to private tours, and the pace is gentle enough for mixed mobility.
Rome is where group logistics matter most, because the queues, the entry slots and the walking distances are what turn a good day into an exhausting one. We hold reserved entry at the Vatican Museums and the Colosseum, split larger groups across two guides so nobody is straining to hear, and place coaches where they can actually stop. For groups with limited mobility we plan shorter walking legs and closer drop off points from the start.
Florence suits cultural institutions, alumni groups and art focused clubs better than almost anywhere in Italy. Private openings at the Accademia and the Uffizi in Florence before public hours, artisan workshops in the Oltrarno where leather and gold leaf are still worked by hand, and scholars who will lecture to your group rather than recite a script.
Tuscany is the most requested region we plan for wine clubs, chefs and reunion groups, and the one where a private arrangement makes the clearest difference. Estates in Montalcino and Chianti that do not take public tastings will receive a private group, cooking schools will host a whole party rather than splitting it, and a countryside villa can hold a reunion under one roof with Siena and San Gimignano within easy reach.
The Amalfi Coast is the single most requested group destination we are asked about, and the one where our experience on the ground shows most clearly. The coast road cannot take a full size coach, so groups have to be moved in smaller vehicles or by private boat, and the hotels that can hold a group of 30 are limited and book far ahead. Handled our way it is superb: private boat days to Capri, Positano and the grottoes, terraced lemon groves, and Pompeii and Herculaneum with a guide who is an archaeologist.
Sicily is where we send groups that have already seen the classic Italy and want something with more range. Greek temples at Agrigento and Segesta, the Baroque of Modica and Ragusa, Palermo and its markets, the Scala dei Turchi, Caltagirone and its pottery, Mount Etna, and a food culture distinct from the mainland. Distances are longer, so a Sicily group itinerary needs real planning to avoid spending the week on a coach, which is exactly the sort of thing we are here to get right.
Personalized service, and not as a slogan. Our group trips are customized rather than cookie cutter, and we go to real lengths to understand and capture the essence of what a particular group wants out of Italy before a single day is written down.
Guidance comes with it.
