Destination Wedding in Italy: Guest Travel for Planners

Group Trips to Italy        Wedding Planners        Bridal Parties        Milestone Celebrations        Family Reunions        Plan My Trip

Your couple gets the wedding in Italy. You get a guest list that arrives, settles in and shows up on time, without the travel questions landing on your desk.

Picture sixty guests stepping off the boat at Bellagio, or gathering for a welcome dinner in the Chianti hills the night before the ceremony. Trips 2 Italy Travel Agency plans that guest travel for wedding planners, from the first hotel block to the last transfer home.

You Design the Wedding. We Handle the Guest Travel.

You have the couple, the venue and the vision. What you do not need is sixty guests asking which airport to fly into. Trips 2 Italy takes the guest travel off your desk, so your attention stays on the wedding itself.

We have designed custom Italian travel since 2003. On a destination wedding, we work as your guest travel team, on your timeline and to your run sheet. We never present ourselves to the couple as the planner. We arrange where guests stay, how they arrive and what they do on the days around the celebration.

What you hand to us:

  • Hotel blocks held at one or several properties near the venue
  • Private transfers timed to each guest’s real flight, from Rome, Florence, Milan or Naples
  • Coaches or boats to the ceremony and the reception, timed to your run sheet
  • A welcome event, and a day out for guests who arrive early
  • One point of contact for every guest travel question

You keep the couple, the design and the vendors. We send you one arrivals schedule and take the guest calls.

A wedding in Italy is rarely a single day. Guests come for the rehearsal dinner and stay for the boat day, the vineyard lunch and the last aperitivo. The week needs a shape, and that is what we give it, so you can stay with your couple.

Three Programs to Offer Your Couples

Most weddings we plan fit one of three programs. Present them to your couple as they are, or combine two.

The Wedding Weekend. Three or four nights around the ceremony. Rooms held near the venue, arrivals met at the airport, transfers to the ceremony and reception, and a welcome dinner the night before.

The welcome dinner is often the night guests talk about afterward: a long table in a Chianti courtyard with pecorino from Pienza and a glass of Chianti Classico, or aperitivo on a terrace above Lake Como as the ferries cross to Bellagio.

Best for: couples whose guests can travel for a week, not two.

The Wedding Week. Both families arrive early and spend the week together. We plan a long lunch on the first day, a cooking class or a vineyard visit, and a free afternoon in a hill town such as Montepulciano or Cortona.

In Tuscany the week might bring pici rolled by hand in a farmhouse kitchen, a morning at a Brunello estate in Montalcino, and an evening in Siena’s Piazza del Campo as the light turns gold on the Torre del Mangia.

Best for: families meeting for the first time, and planners who want the days before the ceremony handled without adding another vendor.

The Guest Getaway. After the wedding, guests travel on. We offer two or three short extensions from the wedding region: Venice after Lake Como, Rome after Tuscany, Capri after the Amalfi Coast. Each guest books only what they want.

Best for: guests who flew a long way, and couples who want to offer them more of Italy.

Tuscany, the Lakes or the Amalfi Coast

The venue usually comes first. When we are asked early, we look at which region suits the size of the guest list as well as the setting. A short call before the venue contract is signed can show whether there are enough rooms close by.

  • Tuscany. Estates in Chianti and the Val d’Orcia hold the whole party, the roads take coaches, and guests stay a short drive apart. Florence is close for a day in the city. Best for: a large guest list and a week together.
  • Lake Como. Guests move by private boat between Bellagio, Varenna and the gardens of Villa del Balbianello and Villa Carlotta. Nobody sits in traffic in formalwear. Best for: older guests and an unhurried weekend.
  • The Amalfi Coast. Lemon terraces above the sea at Ravello and Positano. The coast road is narrow and slow in summer, so we move larger groups in smaller vehicles and by boat. Best for: a smaller guest list where the setting matters most.
  • Lake Maggiore. Quieter than Como, with the Borromean Islands and the terraced gardens of Isola Bella a short boat ride from Stresa. Best for: a smaller guest list that prefers calm.
  • Puglia. Whitewashed towns, olive groves and the trulli of Alberobello, with long summer evenings outdoors. Best for: a relaxed wedding with a warm, rustic feel.

Guests rarely stay in one place. The wedding region anchors the week, and a neighboring region carries the days on either side.

What Every Guest Program Includes

Every program is built around the wedding you are planning. Depending on the week, it can include:

  • Hotel blocks and room assignments, with a choice of properties when the guest list needs range
  • Arrival and departure transfers by private car, minibus or coach
  • Coach or boat transfers to the ceremony and the reception, built from your run sheet
  • The welcome dinner and a farewell lunch, arranged with our partners in Italy
  • Guest excursions: a cooking class, a vineyard visit, a boat day, a guided walk through Pompeii
  • A written guest travel guide and ready to use travel copy for the wedding website
  • Our 24/7 assistance desk for every guest, from departure until they are home

Each guest books international flights from their own city, with our advice on the right airport. A guest who prefers another hotel can still ride every transfer and join every welcome event.

Dietary needs and mobility notes are gathered at booking and confirmed with each hotel before arrival, so a grandparent who prefers no stairs has a room near the lift.

Excursions are where guests get to know Italy, and each other. A morning with the leather artisans of the Oltrarno in Florence. Limoncello tasted where the lemons grow above Sorrento. A boat to Isola Comacina on Lake Como. We match each outing to the region and the guest list.

How We Work With Wedding Planners

Four steps take the guest travel from your brief to a confirmed week.

  1. Send us the brief. The date, the venue, the guest count, where guests fly from, your run sheet, and how the couple wants the days around the wedding to feel.
  2. Receive the proposal. Hotels, transfers and the program for the surrounding days, in writing, usually within a week, ready to present to your couple.
  3. Open guest booking. We prepare the travel page for the wedding website in a tone that matches yours. Each guest books with us and brings their questions to us.
  4. The wedding week. Transfers run to your timings, every driver is briefed, and our 24/7 assistance desk looks after guests from the first arrival to the last departure.

A month before the wedding, you receive one combined arrivals schedule: who lands when, on which flight, into which airport and to which hotel.

The proposal is a working plan, not a fixed package. Change a hotel, add a day in Siena, swap the boat day for a cooking class. We keep refining it until it fits the wedding and your couple signs off.

How Far Ahead Should a Wedding Start Planning?

Bring us in as soon as the date and venue are set. For a wedding in May, June, September or October, start twelve months out. Hotels in Tuscany, on Lake Como and along the Amalfi Coast fill early in those months.

Each season has its own character. Late April and May bring wisteria and long evenings. September and early October bring the grape harvest in Tuscany and Piedmont, and softer light on the coast. In July and August we plan earlier starts, shaded venues and time by the water.

The guest count shapes the plan as much as the calendar:

  • Up to about thirty guests. One hotel, one coach, transfers adjusted on the day.
  • Thirty to eighty guests. Several hotels, arrivals over two or three days, and a transfer plan updated with every flight change.
  • Above eighty guests. Several coaches arranged by hotel, arrival support at more than one airport, and a venue chosen with that number in mind.

Our group programs start at nine travelers, so nearly every wedding qualifies. Share the real guest count at the first conversation. It decides which venues will work.

More to Offer Your Couples

Couples often ask their planner about the honeymoon before the wedding is even finished. We plan the honeymoon in Italy from the wedding region: quiet days in Positano, a short journey north to Venice, or a week among the vineyards of Montalcino.

Many couples choose the Amalfi Coast for its slow pace, Venice for its quiet evenings once the day visitors leave, or Sicily for Taormina, the slopes of Mount Etna and the baroque towns of the southeast.

Families often stay on too. Parents, grandparents and cousins who came for the wedding travel together for a few more days, and we plan those trips as Italian family vacations, with drivers and guides for their party alone.

  • Honeymoons planned around the wedding date
  • Family extensions for the generations already in Italy
  • Anniversary trips back to Italy, planned by the same team
