A destination wedding is not one travel job, it is four, and planners hand us different combinations of them. Naming which one you are dealing with is the fastest way to a useful first conversation.

The Guest Block Around the Ceremony

The core job. A guest list scattered across time zones, arriving over three or four days, all needing to be in one place at one time in formalwear.

We take the whole guest operation: rooms held across the right properties, arrivals met, transfers timed to the ceremony rather than to the hotel’s convenience, and a single point of contact your guests call instead of you. Every guest books and pays us directly, so no deposits move through you or the couple. On the day itself the movements are somebody else’s problem, which is the entire point of handing this over.

The Pre Wedding Week for Both Families

The families arrive early, they do not know each other, and the week before the ceremony is either the best part of the whole event or three days of awkward hotel lobbies.

We plan it as a real trip with a shape: a long lunch that gets everyone talking on the first day, one excursion that gives people something to do side by side, and enough unscheduled time that nobody feels managed. Handled well this is the part guests describe afterward, more often than the ceremony.

The Post Wedding Extension

Guests have flown a long way and a good third of them want to stay on. Right now they are booking that themselves, badly, and asking you for advice you do not have time to give.

We build two or three extensions in different directions from the wedding region, priced and bookable individually, and put them in front of the guest list as an option rather than an obligation. It costs you nothing to offer, it takes the questions off your desk, and guests who take it remember the wedding as the start of a vacation.

The Welcome Party and Excursion Package

For the planner who has the venue and the ceremony fully under control and needs the two days around it filled without adding another vendor to manage.

A welcome event somewhere the couple could not have found, and one excursion the whole party can do together. We arrange both on the ground and run them, and you get one line on your schedule instead of six suppliers.

Because guest travel is a second event running in parallel with the one you were hired for, and it consumes exactly the attention the wedding needs. A planner who is chasing a room block on the Tuesday before a Saturday wedding is not doing the job the couple is paying for.

The volume is what surprises people. Sixty guests generate several hundred individual decisions: arrival dates that do not match, an aunt who will not fly overnight, a family of five who want a villa rather than the block, three people who booked the wrong airport, and a dozen who want to make a holiday of it and have no idea where to go afterwards. None of that touches your event plan and all of it lands in your inbox.

Then the parts either side of the wedding, which is where a destination wedding is won or lost. It also protects the couple from the awkwardness that ruins the run up to a wedding. The uncle who has not paid, the cousin who wants a refund because plans changed, the friend who assumed somebody else was covering it. None of those conversations should ever involve the people getting married, and when payments run through us they never do.

This is the single most useful thing on this page for a planner. Guest money running through a planner’s account is where destination weddings generate their worst conversations, and the exposure is entirely avoidable. Keep every payment between the guest and us and the category disappears.

Guests also call us, not you, and not the couple’s mother. Rooms, upgrades, flights from a different city, children, dietary needs, mobility, travel protection, and the eleven questions that always arrive in the last two weeks. Your phone stays free for the vendors who actually need you.

What Is Included in the Guest Travel Program?

Everything the guests touch on the ground apart from the wedding itself. Hotel blocks and room assignments, all arrival and departure transfers, coach movements to and from the ceremony and reception, the welcome event logistics if you want us to run them, guest excursions on the surrounding days, and a written guest information document that answers the questions before they are asked.

Outside it sit international airfare, which we help each guest arrange rather than bundle because they are flying from everywhere, and travel protection, offered to each guest individually at booking so the terms belong to them rather than to the couple.

You also get a wedding website travel section written and ready to paste, with the block details, the airport guidance and the pre and post wedding options. Most of the guest questions a planner fields exist only because that page was thin.

One deliberate omission. We do not bundle guests into a package they cannot opt out of. A guest who wants to book their own hotel because they have points, or stay with cousins nearby, is free to do that and still ride every coach and attend every welcome event. Forcing a block on people who did not choose it is how guest travel becomes the thing everybody complains about at the reception.

First conversation. We ask the date, the venue, the guest count, where guests are flying from and what the couple wants the surrounding days to feel like. A wedding where most guests stay four nights is a different operation from one where most stay ten.

Blocks and routing. We hold the hotels, build the transfer architecture around the venue and the ceremony timing, and tell you plainly where the venue’s location will cause trouble at scale before anybody has committed to it.

Guest material. Travel copy for the wedding website, the block instructions and a guest information document, all written so you are not rewriting them at midnight.

Booking through the day. Guests book directly with us. We re-cut the transfer plan as flights change, brief every driver, and have our own staff in Italy through the wedding weekend, so a coach problem at eleven at night is solved by somebody local rather than by you.

Through the final month you get a single reconciled movement sheet: who is arriving when, on what flight, into which airport, in which vehicle, to which hotel. It is the document planners tell us they wish they had on every wedding, and it exists because we built the whole thing rather than stitching it together from guest replies.

Which Parts of Italy Work Best for a Destination Wedding?

The venue is usually chosen before we are involved, and that is fine. Where we are asked early, the question we push hardest is not which region is prettiest but which one can absorb your guest list without a two hour transfer at the end of the night. Guest groups almost never stay in one place. The wedding region anchors the week and one neighboring region carries the days on either side of it, and the handoff between them is the part that has to be planned rather than hoped for.

Best for a smaller guest list where the photographs matter most, and the hardest to run above about eighty guests.

The most requested and the most demanding. It photographs like nowhere else and the coast road punishes volume: coaches cannot reach some venues, transfers run long, and a guest list above about eighty needs a genuinely different transport plan built months out.

It works beautifully when the guest count and the venue are matched honestly at the start. It goes wrong when a hundred and twenty people are promised a cliffside venue reachable only by minibus. We will tell you which one you have before contracts are signed. Boat movements often solve what the road cannot, and on the Amalfi Coast that is frequently the difference.

Best for a large guest list, and for a pre wedding week where the families need to be housed together.

The easiest large wedding in Italy to run well. Estates hold the whole party, the roads take coaches, and guests can be housed across a handful of properties within a short drive rather than scattered across a coastline.

It also gives guests the best surrounding week of anywhere in the country, which matters more than planners expect. Florence is close for the guests who want a city, the wine country handles the rest, and Tuscany generally is where we send a couple who wants everybody to stay a week rather than a weekend.

Best when the guest list skews older, because nobody sits in traffic in formalwear.

The most elegant option and the one that handles guests best of the three, because the movements happen by private boat rather than by coach. Nobody sits in traffic in formalwear, and arrivals by water are the single most photographed thing we arrange.

Guests are housed along the shore within short boat transfers, so a large list does not have to sleep in one building. Lake Como carries the strongest name, and Maggiore is quieter for the same money of effort. Milan sits under an hour away, which makes guest flights simple.

How Does Guest Count Change the Operation?

Nine travelers is our minimum for a group program, which almost every wedding clears easily.

Up to about thirty guests the logistics stay simple: one hotel, one coach, transfers that can be adjusted on the day. From thirty to eighty the architecture changes. Guests spread across several properties, arrivals stretch over three days rather than one, and the transfer plan becomes a spreadsheet that has to be rebuilt every time somebody changes a flight. This is the range where a planner without a guest travel partner starts losing evenings.

Above eighty it becomes a genuine operation. Multiple coaches staged by hotel, staffed arrival windows at more than one airport, and a venue that has to have been chosen with that volume in mind.
